As part of the acceleration of the use of digital tools, the company proceeded to the complete automation of the procurement process and tenders with their simultaneous digitization so that they are available electronically to all executives involved in the process.
There was a corresponding plan for the digitization of contracts and their electronic management by the financial service in order to reduce the physical circulation of documents and the need for multiple entries of the same data in different systems.
The project was implemented with the supply of the Papyros system for document management and the standardization of tender approval procedures, offers, and contracts, through the implementation of relevant digital forms, folders, workflows and notifications. Specifically we implemented:
- Electronic Procurement and Tender Management at the Head Offices and at the four cement factories of the company
- Electronic Procurement Management of the group (Group PRC)
- Online Contract Management, with the ability to export an xml file for submission to TaxisNet.
- Electronic management and handling of correspondence (Electronic Protocol) of the head offices.
- Digitization of the active contracts file
With the implementation of Modus solutions the company now enjoys the following benefits:
- Faster processing of internal procedures for tenders and procurement
- Reduction of required human time and physical circulation of documents.
- Direct access to the details of the competitions which are now kept electronically.
- Improve the contract management process with the possibility of electronic file submission without the need for duplicate registration.
