Travel Application Workflow
TitleClient: Fraport Greece
Fraport Greece was founded in 2015 and is responsible for the maintenance, operation, management, improvement and development of 14 regional airports in Greece. The headquarters in Athens employ about 200 people and more than 400 employees are employed at airports.
Title
At Fraport Greece the staff often travels from the company headquarters to the 14 airports and abroad. The procedures for approving travel, issuing airline tickets and booking accommodation were done manually, in a non-automated way. This included multiple communications between employees but also with travel agencies and other associates, resulting in time delays, a complex cost control system and a multitude of mails and other documents.
With the supply of the Papyros system, digital forms for entering travel data were created (about location, dates, etc.) and automated workflows were implemented to approve the entire process, from the trip itself to the cost of airline tickets, accommodation costs, off-site expenses, etc. This process is immediately available to those in charge, who can approve or reject the application even from their mobile phone.
Once the approval process is complete, the process of collecting offers from contracting travel agencies begins. The offers are submitted digitally through a portal and via a contractor selection workflow, standardized and automated. Upon completion of this flow, the employee receives the relevant documents (tickets, accommodation) and can register in the same system and all his expenses during the trip. The whole circuit closes with a satisfaction survey for each travel agency at the end of each trip.

The airport industry is distinguished for its orientation to technologically upgraded and pioneering solutions that contribute to the enhancement of the digitization of their operations. For this reason, solutions that reduce the use of paper and contribute to the mitigation of the environmental footprint are considered as a priority and are part of the operational environment of the Athens International Airport. On this matter, the Papyros platform has vertically optimized processing speed and security of document content storage, minimizing paper use and utilizing modern digital archiving capabilities in a secure environment.

Using Modus’ Papyros platform, we have been able to digitally transform the incoming document management process.
